Preparing Documents: Please fill in all blank lines on any statement, form, letter, affidavit, Power of Attorney, Advance Health Care Directive or other document that requires signature notarization – but do not sign or date it. I will complete the notary section (and provide it, if necessary) at the time of notarization. By law, a Notary Public is unable to draft, change, or provide legal advice concerning your document, so if you have any questions please speak with the attorney, company or agency that drafted your document.

Willingness & Knowledge: Every signer must be willing to sign the document with no coercion. The signer must also be aware of what he or she is signing and understand its purpose. A signature cannot be notarized if the signer has any cognitive impairment.

Ability to Communicate: All signers must be able to communicate directly with the notary in English. The document itself may be written in any language; however, the notary section must be in English. Notary certificates, if required, will be provided upon request.



Apostille Preparation:


Apostille services require additional preparation.
Before scheduling an apostille appointment, please ensure the following:

  • Documents must be originals or certified copies (photocopies are not accepted)
  • Documents must be properly notarized prior to apostille submission
  • The destination country must be a member of the Hague Apostille Convention
  • Processing time and fees vary based on document type and destination country

Please bring the following items to your Live Scan Appointment:


  • Two (2) copies of the completed Request for Live Scan Service form.
  • A valid government-issued photo ID (driver's license or passport)
  • Payment for the Live Scan service.


Important:


The Request for Live Scan Service form must be provided by the requesting agency and completed by both the agency and applicant. Southern Charm Notary cannot provide this form or assist with completing it.

It is your responsibility to obtain the correct Request for Live Scan Service form with the required ORI Code, Requesting Agency Information, and Mail Code. Please complete and print two copies of your form prior to your appointment.

If you do not find the required form listed, please contact your requesting agency or employer to obtain the necessary paperwork.

 What You’ll Need for Your Appointment:

  Valid Photo Identification


  • Must be current (not expired)
  • Must include a photo, signature, physical description, and serial number
  • Must be issued within the last 5 years, per California law


 Acceptable forms of Identification


 The following forms of ID are accepted only if valid and

 compliant with California law:


  • California Driver License
  • California State Identification Card
  • Valid U.S. Driver License or State-Issued ID Card from any U.S. state
  • U.S. Passport
  • U.S. Military Identification Card
  • Senior ID / Under 18 ID (California-issued)
  • Mexican or Canadian Driver License (issued by an authorized government agency)
  • Foreign Passport ONLY if stamped by U.S. immigration (USCIS/INS)


 Witnesses (if needed)

  • Some documents require one or two witnesses
  • Witnesses must be present at the time of notarization
  • Witness must bring valid photo ID
  • Karen does not provide witnesses
